For most small businesses, the best AI accounts payable software is one of three tools. Pick Ramp Bill Pay if you will bank with Ramp. Pick Melio if you want a low flat fee. Pick BILL if your accountant already uses it. Growing teams with approval chains should look at Stampli or Tipalti. High-volume finance teams should shortlist Vic.ai, Medius or AvidXchange.

Here is my advice before you compare anything. Don’t pick a tool for its AI. Nearly every tool here reads invoices and suggests GL codes now. What sets them apart is how you pay. Some charge per user, some per invoice, and some a flat platform fee. Others are “free” but add payment fees. Two tools with the same features can differ by $1,000 a month at the same volume.
I pulled every price below from each vendor’s own pricing or fee pages in September 2026. If a vendor only gives quotes, we say so. We don’t guess.
This guide is part of our best business software series, which maps the whole small business stack.

What AI Accounts Payable Software Actually Does
AI accounts payable software reads the invoices you get. It pulls out the vendor, amount and line items and suggests GL coding. It matches bills to purchase orders, sends them for approval and then pays the vendor. The “AI” part is mostly capture, coding and matching. The payment part is where most of your monthly bill comes from.
Think of these tools as two products joined together. One part turns a PDF into a coded bill. The other part moves the money. Melio and BILL started with payments and added AI on top. Vic.ai and Medius started with AI and plug into an ERP. For more finance software, see our SaaS buyer guides.
Ardent Partners’ State of ePayables 2025 research says the average cost to process one invoice is $9.84. Best-in-class teams spend 79% less than their peers. That gap is what you are paying to close.
What AI AP Software Really Costs at 100 and 1,000 Invoices a Month
At 100 invoices a month, Ramp is cheapest if you pay from Ramp Checking. Melio Core comes to around $100. BILL costs more than double, because it charges per user and per payment. At 1,000 invoices a month, Melio Unlimited and Ramp stay low. BILL goes past $1,100, and Vic.ai starts near $2,083.
We priced two setups using only published rates. The small team pays 100 bills a month, 85 by standard ACH and 15 by check, with 3 users. The larger team pays 1,000 bills, 900 by ACH and 100 by check, with 6 users. Neither uses card, rush or international payments.
| Tool and plan | 100 invoices/mo (3 users) | 1,000 invoices/mo (6 users) | How we got there |
|---|---|---|---|
| Ramp Bill Pay Free, paid from Ramp Checking | $0 | $0 | ACH, check, same-day ACH and wire fees are waived from Ramp Checking |
| Ramp Bill Pay Free, paid from an outside bank | $80.00 | $730.00 | $0.59 per ACH, $1.99 per check |
| Melio Core (100) / Unlimited (1,000) | $100.00 | $230.00 | Core: $25 + 2 extra users at $10 + 65 ACH over the 20 free at $0.50 + 15 checks at $1.50. Unlimited: $80 + 100 checks at $1.50 |
| BILL Team | $275.00 | $1,120.00 | $65 per user + $0.59 per ACH + $1.99 per check |
| Tipalti AP | $99 + transaction fees | $99 + transaction fees | Per-invoice and payment fees are not published |
| Vic.ai AP Module | About $2,083 | About $2,083 | $25,000 a year on AWS Marketplace; $2 per invoice over your commitment; payments separate |
| Stampli, Medius, AvidXchange, Airbase | Quote only | Quote only | No public prices |
Three things can change these numbers:
- Paying by card. BILL and Melio both charge 2.9% when you pay a vendor’s ACH or check with a credit card. On a $5,000 bill, that is $145. It wipes out most card rewards.
- Speed. Ramp charges $10 for same-day ACH and $20 for overnight checks. BILL charges $11.99 for faster ACH and $14.99 to $24.99 for faster checks. Melio charges 1% up to $75 for same-day ACH.
- International. BILL lists FX wires as free and USD wires at $19.99. Ramp charges $20 for a SWIFT USD wire unless you pay from Ramp Checking. Melio lists a $20 flat fee or conversion rates.
Watch out for one more thing. Ramp Bill Pay used to be sold as free. Ramp’s own help center now shows new fees starting June 1, 2026. Standard ACH costs $0.59 and a standard check costs $1.99. Current customers get a grace period. So “free” now means moving your business cash into Ramp Checking.
What Makes the Best AI Accounts Payable Software?
The best AI accounts payable software keeps your total cost low and your invoices moving. Look at per-payment fees first, since they often cost more than the subscription. Check how approvers are billed. Make sure your ERP sync is on your plan. Read the yearly contract and renewal terms. Then test the AI on your own messy invoices.
We built this guide from each vendor’s pricing pages, fee lists and help docs in September 2026. Before you compare plans, multiply your monthly ACH and check count by each tool’s fee. “Free” payments often depend on a certain bank account or a monthly allowance. AI accuracy numbers come from the vendors. So run 30 of your own invoices through a demo and count the fixes.

Best AI AP Software for Small Businesses and Startups
For small businesses, Ramp Bill Pay is the best value if you will pay bills from Ramp Checking. It drops the core payment fees and includes OCR and auto-coding on the Free plan. Melio is the simplest low-cost option. BILL is the safest pick if your accountant already manages clients in it.
1 Ramp Bill Pay: Best for startups and SMBs willing to bank with Ramp
If you will pay bills from Ramp Checking, Ramp Bill Pay is the best value for a small business.
What it does well. The Free plan includes OCR and auto-coding. It pays bills by ACH, card, check and wire. Ramp claims 99% OCR accuracy on line items, but that is the vendor’s own number. An auto-coding agent learns from past invoices. An approval agent sums up vendor history for approvers.
Key features:
- OCR and auto-coding, even on the Free plan
- An auto-coding agent that learns from your past invoices
- An approval agent that sums up vendor history
- Batch payments and payment release approvals, both automated, on Plus
Pricing. The Free plan costs $0 per user. Ramp Plus costs $15 per user per month plus a platform fee based on team size. You save 20% with yearly billing. Enterprise is custom priced. If you pay from an outside bank, fees are $0.59 per standard ACH and $1.99 per check. Same-day ACH is $10, a domestic wire is $15 and a SWIFT USD wire is $20. Paying from Ramp Checking drops those fees. You still pay for overnight check delivery ($20) and check attachments ($1 per page).
Best for: You, if you are happy to run payments from a Ramp account and want strong AI at no software cost.
Limitations. Skip it if you can’t change banks. At 1,000 bills a month from an outside bank, fees reach $730. The Plus platform fee is not published.
2 Melio: Best for very small teams paying a few dozen bills
Want a simple, low-cost way to pay vendors for a flat fee you can predict? Go with Melio.
What it does well. Each plan gives you a set number of free ACH payments each month, plus accounting sync. Melio is now owned by Xero. Xero finished buying it for about $2.5 billion in October 2025.
Key features:
- Some free ACH payments on every plan
- Sync with QuickBooks Online and Xero, starting on Core
- Sync with QuickBooks Desktop on Boost
- NetSuite sync and unlimited users on Unlimited
Pricing. Go is free for 1 user with 5 free ACH payments a month. Core is $25 a month ($20 billed annually) with 20 free ACH payments. Boost is $55 ($44 annually) with 50 free ACH payments. Unlimited is $80 ($64 annually) with unlimited free ACH. Extra users on Core and Boost cost $10 a month each. Once you use up your free payments, ACH is $0.50 and checks are $1.50.
Best for: You, if you pay a few dozen to a few hundred vendors a month and want a flat fee you can predict.
Limitations. Melio’s AI is lighter than Ramp’s or BILL’s. You are buying cheap payments, not smart coding. Skip it if you need purchase orders, 3-way matching or deep AI coding.
3 BILL: Best for accounting firms and QuickBooks or Xero shops
If your accountant already manages clients in BILL (Bill.com), it is the safest pick.
What it does well. Team adds automatic 2-way sync with QuickBooks Online, QuickBooks Desktop Pro and Premier, and Xero. It also adds AI coding for bills with many lines. Corporate adds custom approval rules, purchase orders and 2-way matching. BILL added a W-9 Agent and a Reconciliation Agent in October 2025.
Key features:
- AI coding for bills with many lines, starting on Team
- 2-way sync with QuickBooks and Xero, starting on Team
- Purchase orders and 2-way matching on Corporate
- 3-way matching, more than one company and ERP sync on Enterprise
- W-9 Agent and Reconciliation Agent
Pricing. BILL charges per user. Essentials is $49 per user per month, with CSV import and export only. Team is $65 and Corporate is $89. Enterprise is custom priced. It adds NetSuite, Sage Intacct, Microsoft Dynamics and Acumatica sync. Payment fees are $0.59 per ACH and $1.99 per check. Virtual card payments are free. Voiding a check costs $25.
Best for: You, if your accountant or bookkeeper already runs clients in BILL, or you want AP and AR in one login.
Limitations. Per-user pricing adds up fast if you have many approvers. ERP sync is only on Enterprise. Bloomberg reported in February 2026 that Hellman & Friedman was in talks to buy BILL. BILL was still reporting as a public company in August 2026. So keep an eye out for news about who owns it.
Best AI AP Software for Growing and Mid-Market Teams
Do you have several approvers, more than one company or suppliers overseas? Then compare Stampli, Tipalti and Airbase. Stampli is best at team approvals inside the ERP you already use. Tipalti is best at global payments and tax forms. Airbase is best at putting AP, cards and expenses together. All three need a sales call for real pricing.
4 Stampli: Best for mid-market teams with messy approvals
Stampli is best at team approvals inside the ERP you already use.
What it does well. Its AI assistant is called Billy. Billy handles capture, coding, routing, duplicate checks and fraud detection. Approvers comment right on the invoice, not in email.
Key features:
- Billy AI assistant for capture and coding
- Routing and duplicate checks
- Fraud detection
- Built-in support for more than 70 ERPs (per Stampli)
- Comments right on the invoice
Pricing. Stampli does not publish prices. You have to ask for a quote on its pricing page.
Best for: You, if invoices get stuck because approvers ask questions and nobody can find the answer.
Limitations. You can’t see a list price. It is also not a payments-first tool for a tiny team.
5 Tipalti: Best for global suppliers and multi-entity finance
Tipalti is best at global payments and tax forms.
What it does well. Tipalti AI includes an assistant plus agents for several jobs. They capture invoices, match POs, suggest bill approvers, scan W-9 tax forms and fix ERP sync errors. The platform fee covers unlimited users, a supplier portal and core automation.
Key features:
- Unlimited users and a portal for suppliers
- Agents that capture invoices and match POs
- Suggestions for who should approve each bill
- W-9 tax form scanning
- ERP sync fix agent
Pricing. Tipalti’s AP product starts at a $99 monthly platform fee. You also pay per-invoice and payment fees, which are not listed. They depend on how much you pay out, how many companies you run, which modules you use and which currencies.
Best for: You, if you pay suppliers in several countries and need tax form collection and control over more than one company.
Limitations. Say you pay 50 US vendors by ACH. That $99 minimum plus unknown fees will rarely beat Melio or Ramp.
6 Airbase (Paylocity): Best for companies that want AP, cards and expenses together
Airbase puts AP together with company cards and expense tracking.
What it does well. The AP module uses AI to capture and code invoices with no manual work. It also matches bills to POs automatically, both 2-way and 3-way. Airbase is now part of Paylocity, which finished buying it in 2024.
Key features:
- AI invoice capture and coding with no manual work
- Automatic 2-way and 3-way PO matching
- Corporate cards
- Expense management
Pricing. No prices are listed, only a “Request Pricing” form. The Airbase.com pricing page sends you to Paylocity’s pricing page.
Best for: You, if you already use Paylocity or plan to, and want AP, cards and expenses in one system.
Limitations. If you only need bill pay, you will be paying for a bigger spend suite than you need.
Best AI Invoice Processing Software for High Volume and Enterprise
Do you process thousands of invoices a month through an ERP? Then AI-first platforms are worth their higher cost. Vic.ai is the only one with a public minimum price, at $25,000 a year on AWS Marketplace. Medius bundles AI matching and fraud checks by plan. AvidXchange fits real estate, construction and other specific industries.
7 Vic.ai: Best for high-volume, AI-first invoice processing
Vic.ai is built around AI, and it is the only tool here with a public minimum price.
What it does well. Recent launches include VicPay for payments and a Vendor Portal. Vic.ai also launched VicAgents. It calls them agentic AI for enterprise finance.
Key features:
- AI-first invoice processing
- VicPay for payments
- Vendor Portal
- VicAgents for enterprise finance
Pricing. Vic.ai’s own site shows no prices. Its AWS Marketplace listing prices the AP Module at $25,000 for 12 months. You pay $2 per invoice above the amount in your contract.
Best for: You, if coding invoices by hand is your biggest AP cost and you have the volume to justify a five-figure deal.
Limitations. It is a 12-month contract. If you process under a few thousand invoices a year, the minimum alone is about $2,083 a month.
8 Medius: Best for mid-to-large teams on an ERP needing matching and fraud checks
Medius bundles AI matching and fraud checks by plan.
What it does well. AP Essentials includes multi-way matching, prepayments, recurring invoices, Medius Capture, reports, unlimited users and 1 entity. AP 360 adds Medius Copilot, Supplier Conversations, Fraud and Risk Detection, a supplier portal and 3 entities.
Key features:
- Multi-way matching and Medius Capture
- Unlimited users
- Medius Copilot on AP 360
- Fraud and Risk Detection on AP 360
- Supplier portal on AP 360
Pricing. Medius sells two packages, AP Essentials and AP 360. You need a quote for both.
Best for: You, if you run an ERP and want matching and fraud checks with unlimited users.
Limitations. The AI assistant, Copilot, only comes with AP 360. The starter package does not include it.
9 AvidXchange: Best for real estate, construction and other vertical industries
AvidXchange fits real estate, construction and other specific industries.
What it does well. It lists more than 200 integrations, including NetSuite, QuickBooks, Sage, Yardi and MRI. It is aimed at real estate, construction, healthcare and nonprofits.
Key features:
- More than 200 integrations
- Yardi and MRI integrations for property teams
- Aimed at real estate, construction, healthcare and nonprofits
Pricing. Prices are not published.
Best for: You, if you work in property management, construction or another field that needs industry-specific integrations.
Limitations. You can’t sign up on your own or see a price before a sales call. TPG and Corpay took AvidXchange private in a deal worth about $2.2 billion. It closed in 2025.
How to Choose: A Buyer’s Checklist

- Count payments, not just invoices. Multiply your monthly ACH and check count by each tool’s fee. This number is often bigger than the subscription.
- Count every approver. Per-user tools like BILL charge for approvers too, unless a plan has cheaper approver-only seats. Ask how approvers are billed before you sign.
- Check where “free” comes from. Ramp only drops fees when you pay from Ramp Checking. Melio’s free ACH stops at 5, 20 or 50 a month, based on your plan.
- Confirm the ERP sync is on your tier. BILL only puts NetSuite and Sage Intacct sync on Enterprise. Melio puts NetSuite on Unlimited.
- Read the annual commitment. Vic.ai’s listing is a 12-month contract with fees for going over. Quote-based tools often use yearly contracts too. Ask about price increases at renewal, and get the answer in writing.
- Test the AI on your own invoices. Accuracy numbers come from the vendors. Run 30 of your messiest invoices through a demo and count the fixes.
How We Evaluated These Tools
We built this guide from each vendor’s pricing pages, fee lists, help center articles and docs, checked in September 2026. When no price is published, we say “quote only.” We don’t repeat guesses from other sites. The Vic.ai price comes from its AWS Marketplace listing.
We did not run our own invoice-processing tests. So the AI accuracy numbers in this guide are the vendors’ own claims. No vendor pays to be listed or ranked. Read our editorial policy to see how we research and update guides.
The Bottom Line
If you pay from Ramp Checking, Ramp Bill Pay is the cheapest way for a small business to get AI invoice coding. Melio is the easiest flat-fee pick. BILL fits when your accountant already uses it. Stampli, Tipalti and Airbase suit growing teams with complex approvals or suppliers abroad. Vic.ai, Medius and AvidXchange are for high-volume teams. For them, the real cost is coding work, not payment fees.
Frequently Asked Questions
What is AI accounts payable software?
AI accounts payable software handles the steps from invoice to payment. It pulls the vendor, amount and line items from PDFs or emails. It suggests GL codes based on past bills. It matches invoices to purchase orders, sends them to approvers and schedules payment. Most tools also flag duplicate invoices before money leaves your account.
Is there free AI accounts payable software?
Yes, with some catches. Ramp’s Free plan costs $0 per user and includes AI invoice capture and coding. But it charges $0.59 per ACH and $1.99 per check unless you pay from Ramp Checking. Melio’s Go plan is free for one user, with 5 free ACH payments a month. BILL’s Spend and Expense product is free, but its AP plans start at $49 per user.
How much does AP automation software cost per invoice?
It depends on how the tool charges. Payment-first tools charge per payment. At Melio, BILL and Ramp, that is $0.50 to $0.59 per ACH and $1.50 to $1.99 per check. Vic.ai’s AWS listing charges $2 per invoice above a $25,000 yearly minimum. Tipalti, Stampli, Medius and AvidXchange do not publish per-invoice rates, so you need a quote.
Can AI fully automate invoice processing?
Not fully. AI does well at capture, coding ideas and PO matching for vendors it knows. But new vendors, odd line items and exceptions still need a person. Ardent Partners found that best-in-class teams process 1.8 times as many invoices with no manual touch as their peers. So how much gets automated varies a lot. Plan for a person to review bills at first.
Which AI AP software works with QuickBooks?
BILL Team ($65 per user) syncs on its own with QuickBooks Online, Pro and Premier. Melio Core syncs with QuickBooks Online, and Boost adds QuickBooks Desktop. Ramp and AvidXchange also connect to QuickBooks. If you use QuickBooks Enterprise, check the plan. BILL only offers that sync on its custom-priced Enterprise plan.
What is the best AI AP software for international payments?
Tipalti is built for paying suppliers across countries and currencies. It scans tax forms and supports more than one company. It starts at $99 a month plus fees. For the odd overseas bill, look at the others. BILL lists FX wires as free and USD wires at $19.99. Ramp charges $20 per SWIFT USD wire unless you pay from Ramp Checking. Melio lists a $20 flat fee.
