For most senders, the best cold email software is Instantly or Smartlead. Both give you unlimited inboxes and warmup for one flat monthly fee. Saleshandy is the cheapest option with all the key features. lemlist fits teams that want email plus LinkedIn and calling. Apollo fits you if you need a lead database in the same tool.

Here is my advice before you compare prices. The price you see first is the smallest part of the bill. Your real cost depends on how a tool charges. It may be per seat, per contact or per email sent. Also check if warmup is included and if lead data costs extra. At 50,000 emails a month, your sending inboxes can cost several times more than the software.
We took every price below from each vendor’s own pricing page in September 2026. Prices change often in this space, so check the vendor site before you pay.

What You Are Actually Buying
Cold email software sends personal, automated email sequences to people who have not signed up to hear from you. It sends from inboxes you own and handles warmup, sending limits and replies. It is not the same as newsletter software. Newsletter tools are for people who subscribed, and they send from shared servers.
A working setup has four parts. You need the sending platform, the inboxes and domains you send from, warmup and a list of prospects. Most tools sell only some of these. So check what the plan includes and what you will buy somewhere else. For more business software guides, see our SaaS hub.
The Gmail, Yahoo and Outlook Rules That Shape Your Setup
Since February 2024, Gmail and Yahoo have set rules for anyone who sends about 5,000 or more messages a day to their users. You must set up SPF, DKIM and DMARC. You must offer one-click unsubscribe. And you must keep spam complaints under 0.3%. In May 2025, Microsoft added similar rules for Outlook.com, Hotmail and Live addresses.
Google’s sender guidelines tell bulk senders to keep the spam rate in Postmaster Tools below 0.10%. It should never reach 0.30%. Yahoo’s sender best practices ask for SPF and DKIM and a DMARC policy of at least p=none. They also want one-click unsubscribe honored within two days and a spam rate below 0.3%. Microsoft began rejecting high-volume mail that was not set up this way on May 5, 2025, as dmarcian explains.
What does this mean for your budget? You should spread your sending across many inboxes on backup domains. That way one spike in complaints won’t ruin your main domain. This is why “unlimited inboxes” matters more than any AI feature. A tool that charges per inbox, or caps mailboxes per seat, gets costly fast.
What Cold Email Really Costs at 5,000 and 50,000 Emails a Month
At 5,000 emails a month, most tools cost $32 to $69 a month on their cheapest plan. At 50,000, expect $55 to $99 a month for the software. But you will also pay $280 to $480 a month for the 75 to 80 inboxes you need to send that much safely. As you grow, the inboxes cost more than the software.
Here is how we planned it. We assumed a three-step sequence. So 5,000 sends means about 1,700 new prospects a month, and 50,000 means about 16,700. We also assumed about 30 cold emails per inbox per workday. That is our own careful pace, not a vendor rule. It works out to about 8 inboxes for 5,000 emails and 75 to 80 for 50,000.
| Tool | Plan for ~5,000/mo | Cost (monthly / annual) | Plan for ~50,000/mo | Cost (monthly / annual) | Warmup | Lead data |
|---|---|---|---|---|---|---|
| Instantly | Growth (5,000 emails, 1,000 contacts) | $47 / $37.60 | Hypergrowth (100,000 emails, 25,000 contacts) | $97 / $77.60 | Included, unlimited | Extra, from $47/mo |
| Smartlead | Base (6,000 sends, 2,000 contacts) | $39 / $32.50 | Pro (90,000 sends, 30,000 contacts) | $94 / $78.30 | Included; premium pool on Smart and Prime | Extra |
| Saleshandy | Starter (6,000 emails, 2,000 prospects) | $41 / $34 | Pro (100,000 emails, 30,000 prospects) | $99 / $76 | Included | Extra |
| lemlist | Email (50,000 emails, unlimited users) | $69 / $55 | Email (at its 50,000 cap) | $69 / $55 | lemwarm included | Extra, from $16/mo |
| QuickMail | Starter (5,000 emails, 1,000 contacts) | $49 / not listed | Growth (100,000 emails, 25,000 contacts) | $99 / not listed | Included | Not listed |
| Apollo | Professional, 1 seat (Basic allows 1 inbox) | $79 annual | Professional, 1 seat | $79 annual | Included on paid plans | Included credits |
| Hunter | Growth (10 inboxes) | $149 / $104 | Not built for this volume | n/a | Not listed as included | Included credits |
Now add the inboxes. Smartlead sells new Google or Outlook mailboxes for $4.50 per mailbox per month plus $13 per domain per year. Saleshandy sells them for $3.49 per mailbox per month (yearly, with a 25-mailbox minimum) plus $14 per domain per year. Woodpecker charges $6 for Google or Microsoft addresses and $4 for other providers. Eight inboxes cost about $36 to $48 a month at Smartlead or Woodpecker rates. Saleshandy’s 25-mailbox minimum only matters for bigger setups. Eighty inboxes cost about $280 to $480.
Here is a full example. Smartlead Base (yearly) plus 8 Smartlead Google inboxes on 3 domains costs about $72 a month for 5,000 emails. That is before lead data. Smartlead Pro with 80 inboxes for 50,000 emails is near $470. About $360 of that is mailboxes.
Watch the contact cap too. Instantly Growth and QuickMail Starter allow 1,000 contacts. That is fewer than the roughly 1,700 prospects you need for a three-step, 5,000-email month.
What Makes the Best Cold Email Software?
The best cold email software lets you send from enough warmed inboxes at a price that fits how much you send. Check five things. See if it charges per inbox. Compare the contact cap with your sequence length. Make sure every inbox gets warmup. Learn how data credits work. And look for seat minimums or per-client fees.
First, work out how many mailboxes you need for your volume. Then divide your monthly sends by your sequence steps. That gives you the number of contacts you need. Pay monthly while you test. Yearly discounts only pay off once you know cold email works for you.

Best Cold Email Software for Scaling on Unlimited Inboxes
Once you send from dozens of inboxes, Instantly and Smartlead are the two strongest picks. Both include unlimited email accounts and warmup on every plan. Both charge by how much you send, not by seat. Instantly is simpler if you have one brand. Smartlead has better tools for agencies and sells its own sending setup.
1 Instantly: Best for scaling one sender or brand
If you do outreach for one brand, Instantly is the simpler of the two big tools for growing volume.
What it does well. It gets you a warmed, rotating group of inboxes fast. Every plan includes unlimited email accounts and unlimited warmup. It charges by how much you send, not by seat.
Key features:
- Unlimited email accounts on every plan
- Unlimited warmup
- Lead data credit plans, if you want them
- Free trial, no card needed
Pricing. Growth is $47 a month (1,000 uploaded contacts, 5,000 emails). Hypergrowth is $97 (25,000 contacts, 100,000 emails on the yearly table, while the monthly card lists 125,000). Light Speed is $358 (100,000 contacts, 500,000 emails). Paying yearly drops those to $37.60, $77.60 and $286.30. Lead data costs extra. Credit plans start at $47 a month for 1,500 to 2,000 credits. Bundles of outreach plus credits start at $94 a month (Instantly pricing).
Best for: You, if you run outreach for one company.
Limitations. The cheapest plan caps you at 1,000 contacts. There are no separate client workspaces.
2 Smartlead: Best for agencies and high volume
If you run an agency, Smartlead has better tools for you, and it sells its own sending setup.
What it does well. Every plan comes with unlimited mailboxes. It charges by how much you send, not by seat. Client workspaces you can put your own brand on make it a strong agency tool. It also sells mailboxes, dedicated servers and inbox placement testing.
Key features:
- Unlimited mailboxes on every plan
- Client workspaces with your own branding
- Dedicated servers and mailboxes you can buy
- Inbox placement testing
- Free trial, no card needed
Pricing. Base is $39 a month (2,000 contacts, 6,000 sends). Pro is $94 (30,000 contacts, 90,000 sends). Unlimited Smart is $174 (unlimited contacts, 150,000 sends). Unlimited Prime is $379 (500,000 sends). Paying yearly saves 17%, which brings them to $32.50, $78.30, $144.50 and $314.60. Client workspaces cost $29 per client per month from Pro up, and Prime includes three. Dedicated servers are $39 per server per month. Inbox placement testing starts at $49 a month (Smartlead pricing).
Best for: You, if you run an agency or send more than 50,000 emails a month.
Limitations. There is no single all-in price. The most useful extras are billed on their own.
Best Budget Cold Email Tools for Small Teams
Saleshandy gives you the most emails per dollar. QuickMail includes unlimited users on every plan. Woodpecker only charges for prospects you actually contact. All three include warmup and unlimited inboxes. So pick the billing model that matches how steady your sending is.
3 Saleshandy: Best for the lowest cost per email
Want the most emails for your money? Pick Saleshandy.
What it does well. Pro sends 100,000 emails a month for under $100 when you pay yearly. Unlimited email accounts and warmup are included.
Key features:
- Unlimited email accounts
- Warmup included
- Up to 100,000 emails on Pro
- 7-day free trial, no card needed
Pricing. Starter costs $34 a month billed yearly ($408 a year) or $41 paid monthly. It covers 2,000 active prospects and 6,000 emails. Pro is $76 yearly or $99 monthly for 30,000 prospects and 100,000 emails. Scale is $149 yearly or $189 monthly. Paying yearly on Pro saves $276 a year. Lead Finder credits cost extra (Saleshandy pricing).
Best for: You, if you run a small team that wants high volume and don’t need an agency panel.
Limitations. If you won’t commit for a year, the monthly price is closer to Smartlead and Instantly. Lead data costs extra.
4 QuickMail: Best for unlimited users on a small budget
If several people on your team need logins, QuickMail includes unlimited users on every plan.
What it does well. Many people can have logins with no per-seat fees. Every plan includes unlimited email senders, unlimited LinkedIn accounts and free warmup through MailFlow.
Key features:
- Unlimited users
- Unlimited email senders and LinkedIn accounts
- Free warmup through MailFlow
- 14-day free trial
Pricing. Starter is $49 a month for 5,000 emails and 1,000 uploaded contacts. Growth is $99 for 100,000 emails and 25,000 contacts. Agency is $299 for 500,000 emails, 100,000 contacts and two workspaces. Each extra workspace is $49. The pricing page did not show yearly prices (QuickMail pricing).
Best for: You, if several people need logins and nobody wants to pay per seat.
Limitations. The cheapest plan caps you at 1,000 contacts.
5 Woodpecker: Best for paying only for what you contact
Woodpecker only charges you for prospects you actually contact.
What it does well. It dropped fixed plans for a slider priced on “contacted prospects.” That works well if your volume goes up and down month to month. Plans include unlimited team members, unlimited email accounts and free catch-all verification.
Key features:
- You pay by contacted prospects
- Unlimited team members and email accounts
- Free catch-all verification
- Agency panel
- Free trial of 14 days or 100 emails
Pricing. When we checked, the 500-prospect setting showed about $35 a month with 8,000 emails. Paying yearly saves up to 33%. Extra warmups cost $5 per inbox per month. The agency panel is $27 per active client (Woodpecker pricing).
Best for: You, if your sending goes up and down month to month.
Limitations. Woodpecker’s FAQ says a prospect added to five campaigns counts as five contacted prospects. So campaigns that overlap use up your limit fast. You can’t see a fixed price for 50,000 emails before you sign up.
Best Cold Email Tools With Lead Data or Multichannel Outreach
Apollo is the best pick if you want contacts and sending on one bill. lemlist is best for teams that mix email with LinkedIn and calls. Hunter fits you if you send a small amount and want verified addresses built in. Each one saves you a separate data subscription. But check the inbox limits before you commit.
6 Apollo: Best for a built-in lead database
Don’t have a list yet? Apollo is the best pick if you want contacts and sending on one bill.
What it does well. It puts finding prospects, filling in their details and sequences in one tool. Professional adds unlimited Google and Microsoft mailboxes and unlimited daily sends.
Key features:
- Built-in lead database
- Contact details filled in, plus sequences
- Data credits per seat, per year
- Free plan, plus a 14-day trial on paid plans
Pricing. There is a free plan. Basic is $49 per seat per month billed yearly, with 30,000 credits per seat per year. Professional is $79 with 48,000 credits. Organization is $119 with a three-seat minimum and 72,000 credits. Paying yearly saves 24% compared with monthly. An email address costs 1 credit, and a phone number costs 8 (Apollo pricing).
Best for: You, if you don’t have a list yet.
Limitations. Basic allows one mailbox per user and 250 email sends a day. For cold outreach across several inboxes, Professional is the real starting price. If you already buy data somewhere else, you pay for credits you won’t use.
7 lemlist: Best for multichannel teams
If you mix email with LinkedIn and calls, lemlist is the best fit.
What it does well. A whole team can share one flat Email plan with unlimited users and email senders. Multichannel adds LinkedIn, SMS, WhatsApp and calling. lemwarm warmup is included, and unused enrichment credits carry over.
Key features:
- Unlimited users and senders on the Email plan
- LinkedIn, SMS, WhatsApp and calling on Multichannel
- lemwarm warmup included
- Enrichment credits that carry over
- 14-day free trial, no card needed
Pricing. The Email plan is $69 a month, or $55 billed yearly, with 50,000 emails a month. Multichannel costs $109 per user per month, or $87 yearly, with five senders per user. Enrichment credits cost $20 a month ($16 yearly) for 2,000 credits. lemlist says that covers about 400 emails (lemlist pricing).
Best for: You, if LinkedIn steps matter when you sell, or you want everyone on one flat email plan.
Limitations. The Email plan maxes out at 50,000 emails a month. Lead data costs a lot per contact, since 2,000 credits cover about 400 emails.
8 Hunter: Best for low volume with verified emails
If you send a small amount and want verified addresses built in, look at Hunter.
What it does well. It puts verified addresses ahead of volume. You don’t need a separate data subscription.
Key features:
- Verified email addresses
- Monthly credits to find emails
- 3 to 20 connected inboxes, based on plan
- Free plan
Pricing. There is a free plan. Starter costs $49 a month or $34 billed yearly. It gives you 2,000 credits a month and 3 connected email accounts. Growth is $149, or $104 yearly, with 10,000 credits and 10 inboxes. Scale is $299, or $209, with 25,000 credits and 20 inboxes (Hunter pricing).
Best for: You, if you send a few hundred very targeted emails a week.
Limitations. Limits on connected accounts get costly if you run dozens of inboxes. The pricing page does not list warmup as included.
How to Choose: A Buyer’s Checklist

- Price the inboxes first. Figure out how many mailboxes your volume needs. Then pick a tool that does not charge per inbox.
- Check the contact cap against your sequence length. A 1,000-contact plan can’t fill 5,000 sends on a three-step sequence. Divide your monthly sends by your steps to get the contacts you need.
- Confirm warmup is included for every inbox. Instantly, Smartlead, Saleshandy, lemlist and QuickMail include it. Woodpecker charges $5 per inbox beyond the warmups it includes. Hunter does not list it on its pricing page.
- Read how data credits work. Apollo gives paid credits up front, per seat, per year. lemlist’s enrichment credits carry over. Phone numbers cost several credits each. Know what one verified email costs you.
- Pay monthly while you test. Yearly discounts are about 10% to 33%. But only lock in once you know cold email works for you.
- Watch seat minimums and per-client fees. Apollo’s Organization plan needs three seats. Agency features cost $27 to $29 per client per month at Woodpecker and Smartlead.
How We Evaluated
We compared plans using each vendor’s public pricing page and docs, checked in September 2026. We did not run our own deliverability or inbox placement tests. So we don’t rank tools on inbox rates. The cost examples use only the assumptions we stated and published prices. No vendor pays to be listed in this guide. Read our editorial policy to see how we research and update pages.
The Bottom Line
If you are a founder or in-house team growing one brand, Instantly is the easiest way to run unlimited warmed inboxes at a flat price. If you run an agency or send more than 50,000 emails a month, look hardest at Smartlead. It has client workspaces and its own sending setup. For the most emails per dollar, Saleshandy Pro at $76 a month billed yearly is hard to beat. No list yet? Start with Apollo Professional. If you sell through LinkedIn as well as email, pick lemlist.
Frequently Asked Questions
How much does cold email software cost?
Cheapest plans run from about $32 to $69 a month for around 5,000 emails. That is based on vendor pricing pages checked in September 2026. Sending 50,000 emails costs $55 to $99 a month in software on most flat-fee tools. The bigger cost is inboxes. They run about $3.49 to $6 per mailbox per month, so 80 inboxes add $280 to $480.
Smartlead vs Instantly: which is cheaper?
At the low end, Smartlead is cheaper. It costs $39 a month for 6,000 sends and 2,000 contacts. Instantly costs $47 for 5,000 emails and 1,000 contacts. In the middle, they are close, with Smartlead Pro at $94 and Instantly Hypergrowth at $97. Instantly gives more sends on that plan, while Smartlead allows more contacts. Both include unlimited inboxes and warmup.
What are the Gmail and Yahoo bulk sender rules?
Since February 2024, Gmail and Yahoo have set rules for anyone sending about 5,000 or more messages a day to their users. You must set up SPF, DKIM and DMARC and support one-click unsubscribe. You must honor unsubscribes within two days and keep spam complaints below 0.3%. Google suggests staying under 0.10%. Microsoft began enforcing similar rules for Outlook.com addresses in May 2025.
Is cold emailing legal?
In the United States, yes, if you follow the CAN-SPAM Act. The FTC requires honest headers and subject lines. You need a valid physical mailing address and a clear way to opt out. You must honor opt-outs within 10 business days. Each email that breaks the rules can bring penalties of up to $53,088. EU and UK rules are stricter.
What is the best free cold email software?
Apollo’s free plan is the most useful. It gives you 900 data credits a year and two sequences, but it only connects Gmail accounts. Hunter’s free plan gives 50 credits a month and one connected inbox. Mailshake has a free Starter plan with one email address. Use them to test your message, not to grow.
How many cold emails can I send per day from one inbox?
No provider publishes a safe number of cold emails per inbox. Google’s 5,000-a-day limit applies to all your sending domain’s mail to Gmail, not to one mailbox. We plan on about 30 cold emails per inbox per workday after warmup. When we need more, we add inboxes instead of pushing one harder. Apollo’s Basic plan caps sends at 250 a day per mailbox.
